[en] Preliminary notes capture information entered during the appointment booking and check-in process. They are primarily for staff to record initial details for veterinarians before an appointment begins. These notes are visible to you and other staff members and allow for information to be added that is not automatically included in a patient's permanent medical record, making it ideal for pre-consultation information.
[en] Where to Add Preliminary Notes
[en] Preliminary notes are added in the Preliminary Notes field within the:
[en] Appointment dialogue when creating or editing an appointment.
[en] Check in page.
[en] Once recorded, you can view them in the Preliminary Note field under the Consultation details section on the consultation page.
[en] Adding Notes for Unknown Clients or Patients
[en] When booking a new appointment for a client who is not yet registered, you can add initial information in the Preliminary Notes (for internal use) field within the New Appointment dialogue.
[en] If you need to book an appointment without immediately connecting a client or patient, you can use the Preliminary Notes field to record all available information. This allows you to save the appointment without a connected client.
[en] Displaying Preliminary Notes on the Calendar
[en] You can configure preliminary notes to be visible when hovering over a booking in the appointment calendar or displayed directly within the appointment calendar slots. Adjust these settings under:
[en] Settings > Clinic Location > Booking;
[en] Information shown on appointment calendar tooltips
[en] Information shown on appointment calendar slots
[en] Visibility of Preliminary Notes
[en] Preliminary notes are not automatically shown in a patient's history. Clinicians should manually copy and paste any relevant information into the official record if it needs to be permanently documented.
[en] Using Text Templates for Preliminary Notes
[en] You can use text templates for the Preliminary Note field. These templates are available on the check-in pages but not when initially creating the booking.
[en] Preliminary Notes from Pre-registration and Self Check-in
[en] If pre-registration or self check-in is enabled and preliminary questions are assigned to specific reason types, clients receive a link to pre-registration in their appointment confirmation email or SMS message. Their answers will automatically populate the Preliminary Note field on the consultation page.
Nota
[en] There is currently no option to export or generate reports from the data entered into the preliminary notes field. If an appointment with preliminary notes is accidentally deleted, the notes cannot be retrieved as there is no specific log for them.
