[en] This article explains the different methods available in Provet for billing and processing payments for multiple patients at the same time. You can manage multiple invoices, consolidate invoices , process multi-patient consultations, or utilise multi-patient counter sales.

[en] Paying Multiple Invoices from the Billing Page

[en] This method allows you to process payments for several individual invoices that belong to patients of the same client directly from the client's billing overview.

  1. [en] Navigate to the relevant Client page.

  2. [en] Select the Billing tab.

  3. [en] On the Billing tab, select the invoice rows you wish to pay. The selected invoices will be highlighted in blue.

  4. [en] A pop-up menu will appear at the bottom of the page. Select Actions and then + Payment.

  5. [en] In the dialogue that opens, add the payment by selecting the Payment Method and the Date Added (pre-filled for the current date).

  6. [en] Confirm by selecting the Add Payment button.

[en] The payment will be distributed across all of the selected invoices, starting from the oldest invoice. If the sum of the payment is not large enough to cover the total due amount, some invoices will receive a partial payment or no payment at all.

[en] Consolidated Invoices

[en] You can combine multiple individual invoices into a single, consolidated invoice. This results in one invoice with one invoice number for the same or multiple patients under the same client.

Nota

[en] Consolidated invoices should be used with caution.Consolidated invoices cannot be credited. If needed, you must first revoke the consolidated invoice. Note that consolidated invoices are not compatible with some integrations.

[en] Finalising a Multi-Patient Consultation

[en] When you conduct a multi-patient consultation, it results in a single, combined invoice that covers all patients included in that consultation. The process for finalising and adding payments to this invoice is the same as for a single patient consultation.

[en] Once the consultation is complete, view the invoice. On the invoice page, you will see which items are connected to each patient. Add payment as normal, either under the Payment section on the invoice page or by using the buttons at the bottom of your invoice, depending on your normal workflow. A multi-patient consultation will always create one invoice.

[en] Processing a Counter Sale for Multiple Patients

[en] You can add items for multiple patients (who share the same client/owner) to a single counter sale. When adding an item to the counter sale, you can specify the relevant patient by using the Patient field in the item dialogue.

[en] For items to be associated with specific patients, the counter sale must be linked to a client; anonymous sales do not allow patient attribution.
