You can view, filter and export your clinic's health plan subscriptions on the Health plan page. To open the Health plan page, go to Billing > Health plan. The page name may be different, depending on your health plan settings.
Search and Filter Health Plan Subscriptions
On the Health plan page, you can search for health plan subscriptions with the search field and narrow the list with filters. Two filters are applied when the page opens: Clinic location (your current clinic location) and Status (Active). To add a filter, select one of the filter buttons below them: Client status, Patient status, Species, Payment method, No items used within, Cancellation date or Cancellation reasons. Use No items used within to find subscriptions where no item has been used for a chosen period.
To keep your filters for next time, select the filter options button to the left of Columns, then select Save my filters. To go back to your saved filters later, select Restore my filters.
From Columns, you can select the columns to show in the list. To sort the list, select a column heading. Every column except Items left can be sorted.
Health Plan Subscription Statuses
Each health plan subscription has a status. The Status filter offers Active, Applied for, Signed, Upcoming, Pending payment, Signup failed, Suspended, Cancelled and Ended. The main statuses are:
Applied for: The health plan subscription has been created, but the contract has not yet been signed by the client.
Active: The health plan subscription has been signed by the client and payments are up to date.
Suspended: The subscription is on hold due to missed payments. Items cannot be used from the health plan. When Provet Pay is used, the subscription status is automatically changed to 'suspended' when the maximum number of retry attempts set in the health plan settings has been reached. The health plan is then automatically activated again when the missed payment is received. The status can also be changed to 'suspended' manually, for example, if a third-party billing system is used for payments. When a health plan is suspended, only the use of health plan items is suspended. The contract remains valid, and automatic payments continue to be taken. To stop payments, cancel the health plan subscription.
Ended: The subscription has come to the end of the contract period. Items cannot be used from the health plan unless the 'Usable after subscription has ended' option has been selected. This status cannot be changed back to active. A health plan subscription is not automatically canceled when a patient is archived due to death. See how to cancel a health plan subscription manually.
Health Plan Payment Methods
The health plan payment methods you can see depend on your health plan settings. They may include Not specified, Monthly billing, Prepayment, Provet subscription, Gravity payment, External payment and Direct Debit. For more about payment methods, see Add a Patient to a Health Plan.
Export Health Plan Subscriptions to Excel
You can export selected health plan subscriptions from the Health plan page to an Excel file:
Go to Billing > Health plan.
Select the checkbox at the start of each row you want to export. The table header changes to show how many rows are selected.
Select Export as Excel.
The selected rows are exported to an Excel file.
View a Patient's Subscription Details
To open a patient's subscription page from the Health plan page, select the eye button at the end of the subscription row.
To see the last item used from the health plan and the patient's last consultation, each with its date and time, select the number in the Items left column.
On the subscription page, you can edit the subscription and print or send the subscription details by email. You also see a notification if the client is late with payments. As long as a health plan subscription has the 'active' status, late payments do not prevent using items from the health plan. To stop the client using the health plan, change the status of the health plan subscription to 'suspended'.
To check a patient's health plan benefits and usage from other pages, for example the consultation page, see Check Health Plan Benefits and Usage.
