Requirements

To add and manage items, the following conditions must be met:

  • The Enable mobile app setting must be turned on at the organisation level.

  • Users must have Stock (Read/Write) permissions.

  • Users must have Items (Read) permissions.

Before you can use inventory in the mobile app, make sure you have downloaded the Provet mobile app and logged in. For instructions, see Log In to Mobile App

Search for Items by Name or Barcode

The Stock page is the starting point for managing stock. From here, you can search for items by name or barcode and open their details to view stock information.

  • To search by name, tap the Search item button and type the item name.

  • To scan a barcode, select the Scan barcode button and use your device’s camera.

When you select an item or scan an item, the Item detail page opens, where you can:

  • View stock details, including stock location, available quantity, and price.

  • Add or remove stock.

  • Associate a new barcode.

Add to Stock

  1. Open the mobile app and select the Stock page (box symbol) in the bottom navigation bar.

  2. Search for the item by name or scan its barcode

  3. On the Item details page, tap Add to stock.

  4. Enter the Quantity of packages and/or Quantity of units and, if needed, select the Stock location.

  5. Optional: If you searched for the item by scanning its barcode:

    • If the barcode is already registered, it is recognised automatically.

    • If the barcode is not yet associated with the item, you are prompted to confirm or add it.

  6. Optional: Add a Batch number and a Batch expiry date by scanning the QR code.

    • If the item has a QR code, you can also select Import from code and scan the item’s QR code to fill in these fields automatically.

    • Tip: Use QR codes whenever available to ensure accurate and fast entry of batch and expiry information.

    Note

    Batch and expiry information imported via QR code is not linked to the ordering process. Do not scan items after marking an order as delivered, as this may result in double counting.

  7. Tap Save. A confirmation message appears to show that the item was added to stock.

Remove from Stock

You can remove items from stock directly in the mobile app when they are used, expired, or damaged.

  1. Open the mobile app and select the Stock page (box symbol) in the bottom navigation bar.

  2. Search for the item by name or scan its barcode.

  3. On the Item details page, tap Remove from stock.

  4. Enter the Quantity of packages and/or Quantity of units to remove.

  5. Select a Removal reason from the drop-down list.

  6. If needed, adjust the Stock location.

  7. Optional: Add or confirm the Batch number of the item being removed.

  8. Optional: Enter a Note to provide additional information about the removal.

  9. Tap Save.
