Merging client and patient records combines their information. When you merge a source record into a target record, the source record is archived and its data is transferred to the target. Most information is included in the merge with a few exceptions, and this article details the information that is included and not included in a merge.

The general information from the target client or patient is used as the default for the merge, but you can choose to use general information from the source record during the merge, under Select general info to keep.

Merging Clients

When you merge a source client record into a target client record, the source client is archived. The following information is transferred to the target client:

  • Client discounts

  • Consultation logs

  • Consultations

  • Credit allocations (credit applications)

  • Diagnostic imaging referrals

  • Diagnostic imaging worklists

  • Discount scheme targets

  • Email logs

  • Estimates

  • General prescriptions

  • Holding place numbers

  • Insurance claims

  • Notes

  • Patient health plans

  • Patient old owner logs

  • Patient referrals

  • Patients

  • Phones

  • Prescription repeats

  • Reminders

  • SMS logs

  • Scheduling events (It is not possible to merge a client that has an upcoming appointment. Reschedule or edit the client of the appointment to the target client before performing the merge).

  • Statements

  • Tasks

Information about the merge is saved on the Communication tab for both client records. If clients share patients, the patient records are duplicated. It is recommended to merge or move the patients to the target client before merging the clients themselves.

Merging Patients

When you merge a source patient record into a target patient record, the source patient is archived. The following information is transferred to the target patient:

  • Consultation diagnoses

  • Consultation discharge instructions

  • Consultation items

  • Consultation laboratory referrals

  • Consultation notes

  • Consultation patient statuses

  • Consultations

  • Diagnostic imaging referrals

  • Diagnostic imaging worklists

  • General prescription

  • Imported history

  • Notes

  • Invoice rows (the details of what has been generated as invoice rows, for example, treatments and items, will be visible in the merged patient's history).

  • Patient referrals

  • Prescription items

  • Reminders

  • Scheduling events

  • Weight

Information about the merge is saved on the Communication tab for both patient records.

Information Not Merged

Financial data, such as invoices, payment cards, and unallocated payments, is not transferred, as this is client-specific.

Tags associated with the source client or patient do not transfer to the target record.

The Product sales history section on the Treatments tab is client-specific. If the source patient's owner was different from the target patient's owner, items from the old owner might not appear on the target patient's Treatments tab.

Notes and Tips

  • The source client or patient record cannot be merged if it has unfinished consultations or unpaid invoices.

  • You can unmerge both clients and patients to restore the data to its original state.

  • Any unused prepayments must be handled before the merge, as they will not be automatically transferred.
