If you have duplicate client records with the same information in Provet, you can merge them into a single record.
You might end up with duplicate client records if, for example, you add the same client under a different name or address, or you create a profile with too little information. To prevent this, see Avoid duplicate clients.
Note: Before you merge clients, finalize all financials for both records. Neither record can have unfinished consultations, unpaid invoices, or unused prepayments. Archived and merged clients still appear on the Clients & Patients page, so confirm their accounts are fully settled first.
Merge duplicate client records
Go to Clients & Patients and open the client record you want to merge into another record. This is the record that will be archived after the merge, but you'll be able to choose which information to keep later in the process. This record cannot have unfinished consultations or unpaid invoices.
On the client page, select Actions > Merge client. The Merge client records page opens, showing the record you opened under Client record to merge.
Under Target client record, select the client record you want to keep. This record will receive the data from the client record to merge.
Under Select general info to keep, choose which general information to keep. By default, Provet selects the target client's information. Use the panel on the right to review all the data that will be merged.
Select Merge, then confirm.
After the merge, the merged record is archived. You can find archived clients on the Clients & Patients tab using the Archived filter. Provet saves a note about the merge on both clients' Communication tab. If both clients share patients, Provet duplicates those patients in the target client's record. You can then merge the duplicate patients as well.
What happens to financial information?
Financial data, such as invoices, payment cards, and unallocated payments, is not merged. You can still find the merged client's invoices on Billing > Invoices, or on the patient's page after the merge.
Refunds: Handle any unused prepayments before the merge. Provet does not transfer them automatically.
