Overview of the Provet User Interface

This article provides a comprehensive overview of the Provet user interface, detailing its main navigation, key sections, and functionalities. Understanding the interface helps you efficiently manage the dashboard, client and patient records, appointments, reports, and settings.

Main Navigation Menu

The navigation menu on the left gives you access to all main areas of Provet, including Search, Notifications, Tasks, Dashboard, Calendar, Clients & Patients, and Conversations, and your workspace sections for Patient care, Billing, Scheduling, Catalog, Inventory, and Reporting.

At the bottom of the menu, you find Help & Support and your user account, where you can switch user, go to your profile settings, or sign out.

Note: Some menu options may not be visible depending on your subscription, clinic location settings, or user permissions.

To collapse or expand the navigation menu, hover over the border between the menu and the main content area — a small arrow appears that you can select to toggle the menu. When collapsed, the menu shows icons for each option so you can still navigate and access search without expanding the menu.

If you have unread notifications or pending tasks, a number badge appears next to the relevant menu option showing the count. When the menu is collapsed, the badge is still visible on the icon.

You can search for clients, patients, items, and bundles by selecting Search in the menu or using the keyboard shortcut Alt+S. You can filter search results by type and clinic location. For more information, see Super Search.

If your organization has multiple clinic locations, a colored line on the left side of the navigation menu and the clinic icon color indicate which clinic location you are currently working in.

Clinic Menu

Select the clinic name at the top of the navigation menu to access:

  • Your clinic locations — select a location to switch to it. If your organization has many locations, a search field is available to find the right one.

  • Settings — system configuration at organization and clinic location level

Help & Support

Select Help & Support at the bottom of the navigation menu to access:

  • Support chat — opens the support chat, where the AI assistant is available 24/7

  • Help center — support articles, FAQs, and support contact information

  • Release information and What's new — latest updates

  • Keyboard commands

Dashboard

The Dashboard is your starting point for daily work. It shows ongoing and recent consultations, upcoming appointments, and other sections depending on your settings.

The action buttons in the top-right corner let you:

  • Create a new estimate, patient, client, or organization from the Create new drop-down menu

  • Create an end-of-day report from the End of day button

  • Create a new counter sale from the + Counter sale button


Recent Consultations

The Recent consultations section shows all ongoing and completed consultations. You can filter by ward, staff member, patient type, and species using the filter fields at the top. You can also filter by consultation status using the status buttons. The statuses available depend on your clinic location settings and may include:

  • All active, Draft, Checked in, Consultation, Finalised, Invoicing, Ready for discharge, Discharged, Invoice paid

The status label on each row shows the status of the consultation. The buttons at the end of each row let you go directly to the consultation or invoice.

To choose which columns appear in the list, select Columns. To save your filter and column selections for future visits, select the cogwheel button and then Save filters. Saved filters are specific to each clinic location.

You can also select a client or patient name to open their record, select the patient history button to quickly access the patient's history, or select an appointment timestamp to open the appointment in the calendar.

Scheduled Appointments

The Scheduled appointments section shows upcoming, past, no-show, and canceled appointments. You can filter by ward and staff member, and use the status and time buttons to narrow the list:

  • Status: All, Upcoming, Passed, No show, Cancelled

  • Time: Today, 24 h, Two days, Week, Month

Select the status label in a row to go to the check-in page. The Check in patient button also takes you directly to check in. To save your filter and column selections, select the cogwheel button and then Save filters.

Laboratory Analyses

The Laboratory analyses section appears on the Dashboard if you have added it in your personal profile settings. For more information, see View Laboratory Referrals and Results.

Shared Inbox

The Shared inbox appears at the bottom of the Dashboard. It receives external records and communications sent to your clinic's Provet email address. You can add received records to Provet and assign them to specific clients and patients.

The shared inbox is for receiving email only — you cannot send email from this address. For more information, see Managing Messages in Your Shared Inbox.

Clients & Patients

Select Clients & Patients in the navigation menu to access the client and patient database. From here you can search for and open client and patient records.

Patient Care

Under Patient care in the navigation menu, you find pages for clinical workflows. The pages available depend on your subscription and clinic location settings:

  • My Workspace — a personal page where you can add widgets for quick access to information relevant to you

  • Prescriptions — an overview of all patient prescriptions. For more information, see View, Edit, and Print Written and Phone Prescriptions

  • Triage — an overview of triaged appointments at the clinic location. For more information, see Triage Patients

  • Plans — an overview of planned treatments added for patients during consultations. For more information, see Search for Planned Treatments

  • Laboratory — an overview of laboratory referrals and requests. For more information, see View Laboratory Referrals and Results

  • Diagnostic Imaging — an overview of diagnostic imaging referrals. For more information, see Overview of Diagnostic Imaging

  • Patient referrals — an overview of patient referrals. For more information, see Overview of Patient Referrals

  • Patient Locations — an overview of patient locations such as rooms and cages, including their current status and assigned patients. For more information, see Patient Locations Overview

  • Orphan items — an overview of cabinet-dispensed items that need to be manually linked to a consultation or invoice. Only relevant if your clinic uses a smart cabinet integration.

  • Reminders — an overview of patient and appointment reminders for client communication. For more information, see Overview of Reminders

  • E-prescriptions — create and send prescriptions digitally. Available in selected markets only.

  • Home deliveries — manage orders for items shipped directly to clients by an external fulfillment partner. For more information, see Home Delivery

Billing

Under Billing, you find pages for Invoices, Estimates, Insurance claims and Health plan.

Calendar

Under Calendar, you find the appointment calendar to schedule and manage client appointments.

Scheduling

Under Scheduling, you find tools for managing appointments and staff, including Boarding, Finder for finding available appointment slots, Shifts for planning and managing staff work shifts, Day plan, Booking capacity, and Staff.

Catalog

Under Catalog, you find Items, Bundles, and Catalog management.

Inventory

Under Inventory, you find Stock, Orders, Controlled medicines, Stock locations, and Wholesalers.

Reporting

Under Reporting, you find Summary, Reports, and Ask Provet for reporting and analytics on your clinic's performance and financials. This section is not visible to all users by default.
