This feature is available in the UK market and requires an initial setup by Provet support.
To receive batch orders, go to Inventory > Orders > Batch collection. You can filter the list by item code, invoice number, and wholesaler.
Select the wholesaler whose order you are processing or enter the invoice number and then select Collect batch information. This collects the entire order, not just items with a batch number or expiry dates.
Incoming batches are automatically matched to items by primary wholesaler code, secondary wholesaler code, or barcode. If a batch is successfully matched to an item that already exists in your Provet, a green checkmark is shown at the beginning of the row. If a batch cannot be matched, a yellow X is shown at the beginning of the row.
Batches that cannot be automatically matched can be matched manually by selecting the magnifying glass button at the end of the row. A new pop up opens for matching the item. You can also select Update item primary wholesaler information to add the item code, barcode, or other wholesaler information in the item settings (recommended).
When a batch has been matched to an item, select the check button to approve the batch or the red cross button to dismiss it. To approve or dismiss multiple batches at the same time, select the batch rows in the list and select Save to approve or Dismiss dismiss the batches from the pop-up menu that appears. Approved batches are added to the stock and removed from the batch collection section. Dismissed batches are not added to stock and are hidden from this view. You can view dismissed batches using the Dismissed filter.
If a batch number contains an invoice number that matches a product order or a purchase invoice, the invoice number will link to the matching product order. When a batch is approved, the linked product order or purchase invoice is checked for the item. If the batch item can be found on the order, the delivery quantity is automatically updated to match the quantity of the added batch(es).
Go to the Purchase order / Purchase invoice page and find the order number that is associated with the order you approved. In the header, select the pen icon. Change the status of the order to 'Added to stock'. Note that this must be done from this dialogue. If you use the Confirm added to stock button, the quantity will be duplicated.
If the wholesaler backorders any item(s), they must be placed on a new order and kept open. When you receive the backorder, you can check it in from the new order. Note that you need to add batches when adding items to stock - it is not possible to add batches to items after the item has already been added.
