You can set up notifications so multiple users receive alerts for the same task by creating a virtual user and having relevant individuals follow this user. This method allows several people to access the same notifications, which is often used for working groups within a clinic.
A virtual user is a user account that does not have login user credentials, used as a general staff user. Unassigned appointments can be scheduled to a virtual user, or they can be used for task groups.
For more detailed information on creating user accounts, see the Create and Manage User Accounts article.
Create a Virtual User
Follow these steps to create a virtual user:
Go to Settings > Users.
Select the + New user button.
Enter a name for the virtual user (for example, "Reception Tasks" or "Nurse Group").
Complete the required fields.
Select the Virtual User checkbox.
Select Save.
Subscribe to a Virtual User's Tasks
All users who need to see tasks and receive notifications for a specific virtual user must subscribe to that user's tasks. Follow these steps for each individual user:
Go to your User profile by selecting your initials in the top right corner of the screen.
Select the Tasks tab.
Select the pen button next to Task Settings.
In the Subscribed users field, add the virtual user you want to follow (e.g., Reception Tasks). You can follow multiple users here.
Select Save.
