Use the Bank Bar Code on Invoices and Debt Letters in Finland

The bank bar code lets clients pay an invoice by scanning it with their banking app. Provet prints the bank bar code on invoices from clinic locations in Finland, including invoices attached to debt letters. The banking app fills in the account number (IBAN), the amount, the reference number and the due date. The client does not need to type the payment details.

On the invoice, the bank bar code is printed after the payment information box. A 54-digit number, called the virtual bar code, is printed above the bar code symbol. A client who cannot scan the bar code enters the payment details by hand, as for any other invoice. The bank bar code follows the Bank Bar Code Guide from Finance Finland: version 4 for Finnish reference numbers and version 5 for RF reference numbers.

Most clinics set up the bank bar code once, when they start using Provet. After that, you only select Agreed to pay later when you finalize an invoice that the client pays later.

Set Up the Bank Bar Code

For clinic locations in Finland, the bank bar code needs three groups of settings: the clinic location profile, the reference number settings and the print settings. If one setting is missing, Provet prints no bank bar code. Most clinics make these settings once, when they start using Provet. To make these changes, you need permission to change settings (see View and Manage User Permissions).

Check the Country and IBAN Number in the Clinic Location Profile

The bank bar code uses the country and the bank account in the clinic location profile. Make sure that the clinic location profile shows:

  • Country: Finland

  • IBAN number: the bank account that receives payments

To check or change the clinic location profile, go to Settings > Clinic location, then select the pen button next to Clinic location profile.

Turn On Finnish or RF Reference Numbers

The bank bar code needs a valid reference number on every invoice. To turn on reference numbers in the organization settings:

  1. Go to Settings > Organization.

  2. Select the pen button next to Organization settings.

  3. Select the Create reference numbers for invoices checkbox.

  4. In the Reference number type drop-down list, select Finnish reference number or European RF Creditor Reference.

  5. Select Save.

Invoices now get a Finnish or RF reference number.

Show Payment Information on Invoices

The bank bar code is printed after the payment information box, so the invoice must show the payment information box. To turn on the payment information box in the print settings:

  1. Go to Settings > Print settings > Invoice.

  2. Select the pen button above Header.

  3. In the Body section, select the Show payment information checkbox.

  4. Select Save.

Invoices with Agreed to pay later selected now show the payment information box and the bank bar code.

Add the Bank Bar Code to an Invoice

The bank bar code is printed on invoices that the client pays later. To add the bank bar code when you finalize an invoice:

  • If your clinic uses single-step finalization:

    1. On the invoice page, select Finalize invoice.

    2. Select the Agreed to pay later checkbox.

    3. Select Finalize - Not yet paid.

  • If your clinic uses two-step finalization:

    1. On the invoice page, select Finalize.

    2. In the Payments section, select the Agreed to pay later checkbox.

The invoice PDF now shows the payment information box and the bank bar code. The bank bar code is included when you print the invoice, download the invoice or send the invoice by email.

Add the Bank Bar Code to a Debt Letter

For clinic locations in Finland, the bank bar code is printed on each invoice attached to a debt letter. The bank bar code is not printed on the debt letter itself. To include the bank bar code, select Attach invoices when you send the debt letter (see Generate a Debtors and Creditors Report).

On an attached invoice, the bank bar code contains the amount the client must pay now. This amount includes the delay fee and the delay interest. This bank bar code has no due date, because the original due date has passed. The payment information box on the attached invoice shows the same amount as the bank bar code.

To set up delay fees and delay interest, see How do I add Invoice Fees and Delay Fees?.

Why Is the Bank Bar Code Missing From an Invoice?

Not every invoice from a clinic location in Finland gets a bank bar code. If an invoice has no bank bar code, check the invoice against this list:

  • An invoice without Agreed to pay later gets no payment information box and no bank bar code. To add the bank bar code, select the Agreed to pay later checkbox in the Payments section of the invoice, then print the invoice again.

  • An invoice finalized with Finalize - Paid fully with cash or Finalize - Paid fully with card, or paid in full later, has no amount left to pay. An invoice with no amount left to pay gets no bank bar code.

  • A consolidated invoice never gets a bank bar code. The client enters the payment details of a consolidated invoice in the banking app by hand.

  • A debt letter sent without Attach invoices has no bank bar code, because the bank bar code is printed on the attached invoices. To include the bank bar code, send the debt letter again with Attach invoices selected.

  • An invoice with a missing or invalid reference number gets no bank bar code. Check that reference numbers are turned on with the Finnish or RF type.

  • If the IBAN in the clinic location profile is missing or invalid, no invoice from that clinic location gets a bank bar code. Check the IBAN in the clinic location profile.

  • Invoices from a clinic location whose country is not Finland never get a bank bar code.

  • If Show payment information is turned off in the print settings, no invoice gets a bank bar code.

  • If you have checked all of the above and the bank bar code is still missing, contact your onboarding specialist or Provet support.
