Set Up and Use the Smart Flow Integration

Smart Flow is a third-party app from IDEXX for managing hospitalized patients, with a digital whiteboard and treatment sheets. With the Smart Flow integration, patients you mark as inpatients in Provet are sent to Smart Flow automatically. You need your own Smart Flow account to use the integration.

To use the Smart Flow integration, you need:

  • a Smart Flow account for your clinic

  • hospital mode turned on for the clinic location

  • the Smart Flow integration enabled for your organization

  • the Smart Flow connection set up for the clinic location

You set up the Smart Flow connection separately for each clinic location. If the Smart Flow section in Settings > Integrations shows "Smart Flow integration disabled, please contact support", the integration is not enabled for your organization. Contact support to enable it.

Note: Smart Flow is a third-party system. When you use the integration, client and patient data is transferred from Provet to Smart Flow. Billing is not connected: no invoice or payment information is transferred between the two systems.

Set Up the Smart Flow Connection

To set up the connection, you need the clinic API key (application programming interface key) from your Smart Flow account, and user permissions to change integration settings.

  1. In Smart Flow, copy the clinic API key from the Smart Flow settings.

  2. In Provet, go to Settings > Integrations.

  3. In the Smart Flow section, select the pen button.

  4. Enter the clinic API key.

  5. Turn on the Smart Flow connection.

  6. Select Save.

  7. To check that the connection works, select Test connection.

The Smart Flow connection is set up for the clinic location. Latest connection attempt shows the result of the test, for example 'Was successful'.

Send a Patient to Smart Flow

When you mark a patient as an inpatient in a clinic location connected to Smart Flow, Provet creates the patient in Smart Flow. Provet sends information from the consultation with the patient, such as weight, veterinarian, diagnoses, and cardiopulmonary resuscitation (CPR) agreement.

Before you start, make sure the patient has a recorded weight. Add the weight in the patient row at the top of the consultation page.

  1. Open the Mark as inpatient dialog on the consultation page.

  2. Fill in the fields in the dialog.

  3. Optional: If your clinic location has Smart Flow treatment templates, select a template from the Smartflow template drop-down list. If you do not select a template, Smart Flow uses its own default template. Treatment templates are created in Smart Flow. Provet gets the list from Smart Flow when you open the drop-down list, so a new template is available right away.

  4. Select Mark as inpatient.

The patient is marked as an inpatient in Provet and created in Smart Flow. For more information about the dialog, see Mark a Patient as an Inpatient.

Note: After a clinical note has been added, you cannot change the consultation back to outpatient.

Discharge a Patient Connected to Smart Flow

Discharge the patient in Provet, not in Smart Flow. When the patient is discharged in Provet, the patient is also discharged in Smart Flow.

Smart Flow can send a PDF of the hospitalization back to Provet. Provet adds the PDF to the patient's communication and notes.

Check Hospitalizations and the Activity Log

To see which patients are in Smart Flow and what has been sent, go to Settings > Integrations and select Show Hospitalizations & Logs in the Smart Flow section.

  • Current hospitalizations: The patients currently in Smart Flow, with the owner and the time the patient was admitted.

  • Activity log: Each action sent to Smart Flow, such as 'Admit patient', with the time, a log text, and whether the action was successful.

If a patient is not shown in Smart Flow, check the Success column in the activity log. If the action was not successful, select Test connection to check the connection. If the problem continues, contact support.
