The E-conomic integration exports your finance entries from Provet to Visma E-conomic. You can export manually, or set the export to run every night or once a week.
Note: This content is specific to the E-conomic accounting system by Visma, which is used by clinics in Denmark.
Export manually at first. You then learn how the export works, and you can go back and troubleshoot yourself if data is ever missing.
Choose the Output Type
Provet exports the data to E-conomic in one of two output types. Choose the one that fits how your clinic reconciles its accounts.
Transactions exports each transaction separately, except for rows with the value 0. This is the most precise option, because you can search for the voucher numbers created in E-conomic in the account overview report in Provet. It also creates considerably more vouchers in E-conomic, which can affect your E-conomic subscription price.
Balance exports the total balance per day and per account. This creates far fewer vouchers in E-conomic, but it can be harder to reconcile the entries or trace them back to Provet.
The output type is set on the Settings page, in Output Format.
Open the Export Page
Open any invoice or invoice draft.
Select the button that opens the export, in the toolbar at the bottom of the invoice. In most clinics it is named E-conomic Export.
The export opens in a new browser tab. The button is a custom integration button, added when the integration is activated, so your clinic can have a different name for it. The menu on the left has four pages:
Start: the entries that are not yet exported to E-conomic, listed as unexported verifications
Exports: the earlier exports to E-conomic, listed as exported verifications
Events: a log of the data files that have been sent to E-conomic, with the time and the user who sent them
Settings: the settings page, where you can set the export to run daily or weekly. The other settings on this page are set up when the integration is installed.
Create a Data File for Export
Before you can send data to E-conomic, create a file to export.
Go to the Start page.
Select + Export Now in the top right corner. A box with a calendar opens.
Select one date. The export includes everything up to and including that date.
Select Create. The file is now ready on the Exports page.
Note: an export can include entries from a period you have already exported. If payment corrections or entries have been posted back in time, the export includes those changes.
Send the File Data to E-conomic
Go to the Exports page, where your file is ready.
Select the three dots button on the file row.
Select Generate output.
The status changes after a moment. A data file has one of the following statuses:
'None': the file is not exported to E-conomic
'E-Conomic Balance failed': the export failed. Go to the Events page to see the reason
'E-Conomic Balance created' for a balance export, or 'E-Conomic Tr created' for a transactions export: the export succeeded, and you can see the data in the draft or drafts in E-conomic
You can now compare the exported information with the report generated from the account overview in Provet.
When you export a balance, E-conomic reports the created voucher numbers back to Provet. To see them, double-click the file row. A box on the right-hand side of the screen shows the voucher numbers created for that file.
Common Causes of Export Errors
To read the error, go to the Exports page and double-click the row of the failed export. A panel on the right-hand side shows the details.
If an export fails, first check whether any data reached E-conomic. When data goes to several drafts because your clinic has several departments, and only one department has an error, the data for the other department can still reach its draft even though the export has the status 'E-Conomic Balance failed'. Delete the data that reached E-conomic, so that it is not included again when you correct the error and send the file again.
Account XXXX does not exist
An entry in Provet uses an account number that does not exist in E-conomic.
To solve it, create the account number in E-conomic and send the export again. If you want to use a different account number, correct the row in E-conomic.
Period is closed
An entry in the file has a date that falls in a closed period in E-conomic. This is usually a backdated credit note.
Correcting this takes several steps in both E-conomic and Provet. Contact Provet support.
Missing accounting year
This message usually appears when the export runs automatically and a new accounting year has not been created, for example after New Year.
To solve it, create the accounting year. Then go to the export, find the failed file, select the three dots button, and select Generate output.
