Laboratory Item Settings

This article explains the settings available for laboratory items, including both laboratory analysis items and laboratory analysis panel items. These settings are managed when creating or editing a laboratory item to control how the items are displayed and function in Provet.

The settings are organized into categories, mirroring the structure of the item card's three main tabs: General, Pricing, and Usage. Each setting is presented in a table with a brief description and is marked with an 'X' to indicate if it applies to a Laboratory analysis item, a Laboratory analysis panel item, or both.

The following tables list the settings available for laboratory items.

General

The General tab contains fundamental information about the laboratory item setup. All fields and options are listed in the tables below.

Name

The name of the item. This information is required.

The equipment used to perform the laboratory test.

Print name

The print name to be shown on client-facing documents and can be edited on the invoice page. If you do not add a print name, the Name is used on printouts instead.

Code

The item code can be used in searching for the item. The code can be changed at any time.

Barcode

The barcode can be used in searching for the item.

Measurement unit

The measurement unit for an item related to a value that is measured, for example, mg/dL.

Internal instructions

Notes added here are shown only in the item dialog when the item is added to a consultation. You can use this, for example, to add any information that may be important to know before taking the laboratory sample (for example, "Patient must be fasted.").

Internal remarks

Add internal notes about the item, such as purchasing details, setup notes, or other information for staff. Available for Laboratory analysis items only, and only after the item has been saved once.

The item list you want to connect the item to.

Item subgroup

A subgroup for the item to be categorized to. Using subgroups helps to organize items for inventory management and reporting purposes. See how to create subgroups.

External ID

An external ID of the item. For external laboratory test items, this field is filled in automatically and cannot be edited.

Laboratory group

The laboratory group for the test, for example, 'Internal laboratory', 'External', etc. This is a custom list which can be edited on Catalog > Catalog management > Laboratory groups.

Notes

Notes added here are printed on the laboratory panel label. This can be used by inserting the [[panel_notes]] placeholder into the laboratory label template.

Hematology panel (WBC count)

Used for laboratory panels running white blood cell counts. After adding laboratory analyses to the panel, select the checkbox to map them to the appropriate test.

Sample type

The type of sample that is collected for this test, for example, blood, urine, etc. This is based on a custom list set up in Settings > Lists & Templates > Lists.

Species

The item can only be used for the selected species on consultations and treatment estimates. The available options depend on the currently active species list.

Hide item

When selected, the item is hidden everywhere in Provet.

Hide on consultation search

When selected, the item cannot be found using the item search on a consultation page but is visible on the consultation page if added from a bundle or used as a linked item. The item is also hidden from the item search on consultation invoices. The item works with bundles.

Hide on counter sale search

When selected, the item cannot be found using the item search on a counter sale but is visible on the counter sale if added from a bundle or used as a linked item. The item works with bundles.

Attachments

You can attach documents to be included when adding the item to a consultation. The documents can be printed out to be shared with the client (for example, instructions on reading a dipstick or how to take a glucose reading). This option becomes visible after the laboratory item is saved for the first time. To access it, save the new item, then reopen it and select Select attached files on the General tab, below Visibility options.

Reference Values

This section is available for laboratory analysis items. The reference values you add for the laboratory analysis are shown on the consultation page and laboratory referral page when the item is added to a consultation. If the analysis result is outside the reference value limits, the result value is shown in red on the consultation and laboratory referral pages.

Note: This section is not available when you create a new item but appears after you have saved the item once.

  1. Select Add new reference value. The Create laboratory reference value dialog opens.

  2. In the Species field, select the species that this reference value applies to. This field is required.

  3. In the Breed field, select the breed if relevant.

  4. In the Min and Max fields, add the lower and upper limits of the reference value. If you only want to add a lower or an upper limit, select the Use only lower / upper limit checkbox.

  5. Select Save.

The reference value is added and appears in the Reference Values table for the selected species.

Linked Laboratory Analysis

This section is available for laboratory analysis panel items. Note that this section is not available when you create a new item but appears after you have saved the item once.

To link a laboratory analysis item to a laboratory analysis panel item, start typing the name of the item in the Search for a laboratory analysis to link it field and select it from the list. Linked analyses can also be reordered by dragging them with the mouse.

The linked items are listed below the search field, showing Name, Code, and Price. To remove an item, select the trash bin button on the item row.

This section is shown for a laboratory analysis item when the analysis is linked to a panel.

Pricing

The Pricing tab contains information about price, sales tax, and other financial options for the laboratory item. Selectable options and fields are listed in the tables below.

When selected, a laboratory handling fee will not be applied for the item.

Purchase Cost

The price you pay for the product when you buy it from a wholesaler. Adjusting the purchase cost requires the 'Item selling price' permission.

The purchase cost including the selected sales tax. This field is calculated automatically.

Wholesaler discount %

The discount percentage offered by the wholesaler. Used to calculate the net purchase cost. Does not affect the client selling price.

Producer discount %

The discount percentage offered by the producer. Used to calculate the net purchase cost. Does not affect the client selling price.

Special discount %

Any additional discount percentage. Used to calculate the net purchase cost. Does not affect the client selling price.

Net purchase cost

The purchase cost after applying the wholesaler, producer, and special discounts. Calculated automatically.

The net purchase cost including the selected sales tax. Calculated automatically.

Markup percentage

Added to the purchase cost to calculate the sales price. If a markup is not defined, it is calculated automatically based on the purchase cost and the sales price.

Disable automatic selling price calculation

If not selected, changing the purchase cost updates the sales price. If selected, changing the purchase cost updates the markup percentage instead.

Sales price

The price the item sells for, before sales tax.

Sales price with Sales Tax

The price the item sells for, including sales tax. Calculated automatically.

Minimum price

The minimum price including sales tax. Calculated automatically.

Minimum charge

A minimum charge that is always invoiced as the item's base price. If the total exceeds the minimum charge, the normal item pricing applies. For more information, see Set a Minimum Charge and Minimum Price for an Item and Overview of Sales Items in Provet.

The minimum charge including sales tax. Calculated automatically.

Linked Items

Linked items

Items associated to this item. When an item that has another item linked to it is added on a consultation, the linked item is also automatically added.

Price of linked items

Defines how prices are handled for items linked to this item, for example whether linked item prices are included, shown, or charged separately.

Group on invoice printout

If selected, the item is grouped to one row on invoice printouts if added more than once. The quantity and price of the item are hidden, and the sum and the totals are shown. A separate row is created for each patient.

Sets the minimum quantity that can be charged or used when this item is added, helping prevent quantities below the required minimum.

Force whole number sales

Ensures the item can only be sold in whole numbers, not decimals. For example, the item can be sold as 1 or 2 units, but not 1.5.
