This function is currently only available in a limited number of customer environments.

The Access financial data across all clinic locations permission lets administrators control whether users can view financial data from all clinic locations or only from the clinic they are currently logged into.

Combined with clinic location access permissions, this makes it possible to restrict financial data visibility to the user’s active clinic. This ensures financial information stays confidential between clinic locations, even when they are part of the same Provet account.

With this permission disabled:

  • Staff only see financial data (invoices, payments, balances) for their current clinic.

  • Accidental access is reduced, and data security is enhanced.

  • Financial dashboards remain relevant to the user’s clinic.

  • Global finance or admin staff retain full visibility when needed.

Requirements

  • The feature must be enabled for your organisation by Provet support.

Enable or disable access to financial data across all clinic locations

  1. Go to Settings > Users > Permission groups.

  2. Select a permission group you want to update by clicking the button with three dots at the end of the row and selecting Permission settings. Note that you must have administrator rights to edit permission groups.

  3. In the Financial section, find Access financial data across all clinic locations.

  4. Select or clear the Read checkbox depending on whether the group should have access across all clinic locations.

  5. Save your changes. Note that changes to a permission group apply to all users assigned to that group.

Note that if you remove the permission from a user or group, they regain access to financial data for all clinic locations they already have access to.

  • Front desk staff with financial data restricted to their clinic.

  • Finance/admin staff with access across all clinics.

  • Hybrid roles for staff who need both local and global access.

What changes when finance access is restricted

When the Access financial data across all clinic locations permission is disabled, users are limited to financial data for their active clinic location.

  • If a user has access to multiple clinics, their financial data updates automatically based on the clinic location selected in the session.

  • Users without the permission see no-access messages in financial tables for data from other clinics.

Restricted access

Users cannot open the following from other clinic locations:

  • Consultations (consultation data in patient history remains visible)

  • Invoices

  • Billing history

  • Pre-payments and payment information

  • Health plans

  • Estimates

  • Insurance claims

Other effects

  • Links to consultations and invoices are disabled in Patient details and Patient history.

  • The total sum of consultations is hidden in patient page consultation tables.

  • Client balance (if enabled, currently only available in a limited number of customer environments) is filtered by active clinic.

  • Financial highlights are hidden.

  • Billing tab tables are filtered by active clinic (with some exceptions).

  • Dashboards (Invoices, Health plans, Estimates, Insurance) are filtered by active clinic and cannot be switched.

FAQ

Why cannot a user see financial data they used to see before?

The user may be restricted to viewing financial data only for their current clinic location. This is expected behavior when the Access financial data across all clinic locations permission is not enabled.

By default, the permission is enabled in all permission groups to ensure workflows are not interrupted. If you want to restrict access, edit the relevant permission groups and clear the checkbox.

Will this affect patient or client medical data?

No. The restriction applies only to financial client data. Clinical records, scheduling, and communications are not affected unless they intersect with invoicing or billing features.

What happens if a user works in multiple clinic locations?

They can still switch clinic location freely. Financial data will be shown for the clinic location currently selected.

What happens if we rely on unsupported features?

If your clinic uses unsupported features such as finance highlights or statements, we recommend waiting before enabling this permission.
