This article explains how to temporarily hide or permanently delete user and resource columns from your calendar view. You can easily manage column visibility using filters or by adjusting user and resource settings.

Temporarily Hiding Calendar Columns

You can temporarily hide staff or resource columns from your calendar views:

  • Using Calendar Filters:

    1. Go to the Calendar view.

    2. Use the filters located on the left side of the calendar.

    3. Unselect the specific staff member or resource to hide their column from the calendar.

  • Using Shift View Filters:

    1. Go to the Shift view.

    2. Use the filters located on the left side.

    3. Unselect the specific staff member or resource to hide their column.

Permanently Deleting Columns

Columns can be permanently removed by deleting the associated user or resource.

Deleting a User Column

If a staff member is no longer working at your clinic, you can archive their user profile, which removes their column from the calendar.

  1. Go to Settings > General > Users.

  2. Find the user by searching in the Search field.

  3. Select the bin button next to the user's name.

  4. Confirm Archive user. You can unarchive this user later if needed.

Note! If you have multiple locations and the staff member needs to remain visible in another location, do not archive the user. Instead, change the user's active clinic locations or their location-specific permissions.

  1. Go to Settings > General > Users.

  2. Find the user and select the Pen button.

  3. In the Active clinic locations field, remove the unneeded location access by selecting the X next to the clinic location's name.

  4. Save.

Visibility Based on User Roles

User work roles affect their visibility in the calendar:

  • Users with the 'Veterinarian' work role are available for appointment booking and are always visible in the calendar.

  • If the Allow support staff as supervising users setting is enabled, support staff will also be visible on the Appointments calendar. Administrative or Technical work roles will not appear.

    • To activate or deactivate this setting, go to Settings > Clinic location > Clinic Location settings > Allow support staff as supervising users.

  • Changing a user's work role will affect their visibility in the calendar.

    1. Go to Settings > General > Users.

    2. Find the user and select the Pen button.

    3. Go to the Work role field and change the user's work role.

    4. Save.

Deleting a Resource Column

  1. Go to Settings > Clinic location > Resources.

  2. Select the Bin button next to the resource name.

  3. Confirm deletion. You cannot recreate a resource after deletion; you will need to create a new one.

Important Considerations for Deletion

It is recommended to move all booked appointments from users or resources before deleting them. If a user or resource is deleted, their corresponding column will be removed from the appointment calendar. However, any appointments booked for a deleted user or resource can still be found on the Dashboard in the Scheduled appointments section by using filters and search.

Accessing certain settings might require specific user permissions.
