Duplicate automatic reminders (email, SMS/text), such as vaccine reminders, can be caused by overlapping reminder rules or manually sent reminders.

Start by checking your reminder settings and the client communication log. Duplicate automatic reminders can occur if the same template or similar conditions are used in multiple automatic reminder rules, potentially with varying time frames.

To investigate this:

  1. Go to Settings > Lists &Templates > Reminders.

  2. Carefully review your automatic reminder templates and rules to ensure they are set up correctly.

Also, confirm with your users whether any reminders were sent manually. It is easy to create a reminder from a consultation using the same template as an automatic reminder. These manual reminders will appear identical on the Reminders tab in the patient card, which can create the impression of a duplicate.

To further investigate potential duplicates:

  1. Go to Settings > Log > Client communication.

  2. Select the SMS log or Email log tab, depending on the type of reminder you are reviewing, and use the filters to narrow your search.

  3. Check whether reminders were sent at the same time. If not, they may not be true duplicates.

  4. Review the Sent by column to see which user sent each message, and filter by client or within a specific time frame as needed.
